Warehousing Module

Warehousing Module

To access the warehousing module, click the Warehousing Menu right next to the Items Menu in the Menu Bar.

To create warehouses click the Warehouses option in the Warehousing Menu. Then a window will appear as shown below.

Here to create a new warehouse in the desired location, first click and select the correct location by clicking the orange icon. Then click the new button below the Warehouse Field. Type the Name and click Save. It will create a new warehouse in the selected location. You can provide the address details of that warehouse by clicking the Address button.

Next is to create the different storage locations in that warehouse if the warehouse has been divided into separate storage areas. Click the new button below the Storage Location Field. Type the name and click save. It will create a new storage location in the warehouse that was created and is currently selected. Create more storage locations for that warehouse as needed. The names can be edited or deleted if needed by clicking the edit and delete buttons.

Now in each Storage locations created you can select the storage location and then create multiple aisles in those storage locations. Click new button under the Aisle field and type the name and click Save. Create all the required aisles in each storage location. The aisle names can be edited or deleted by using the edit and delete buttons.

Now in an aisle there will be many racks. You can select any of the aisle created and create the required racks in the selected aisle.

Similarly in each rack there will be many bins and you can select the rack and create the required bins in the selected rack.

The Transactions and Items Buttons in the Bin field can be used to view the transactions that have been linked to the selected bin as well as the items that are in the selected Bin.

Receipt Document

Then to store items which have been purchased in a location to the created warehouse in that location, click Warehouse transactions in the warehousing menu and a window will appear as shown above. To first receive the purchased stock of items to that warehouse select transaction type as receipt, select the correct warehouse in that location. Then click new button to create a new receipt document to record receipt of items into the selected warehouse.

Then you can either select the items in the purchase document manually or you can link the correct purchase document to the receipt document and import the items directly from the selected purchase document. Click the magnifying glass next to the document field. Then Select the correct purchase document from the window that appears. Once you select the purchase document the purchase document number will appear in the documents field. Then click the green icon next to it to import the items in the selected purchase document to the receipt document. Verify the received quantities of the items and if any changes you can edit the quantity in the receipt document itself and click save. Then verify the document and approve it by click the Approve button.

You can also do Receipt document in the warehouse for stock transferred from one location to another location in lead. After doing stock transfer between two locations normally. Select the receipt document in Warehouse Transactions and click new button. Then in the new document window select the transaction type as Inventory Inward and click the magnifying glass and select the Inventory Inward document and import the items from that Inventory inward document. Click the save button.

This helps in adding the stock that’s transferred between two locations to the warehouse to manage the stock in the warehouse.

Put Away List

Next is to put the received items into a bin in that warehouse. To do that select transaction type as put away list and click ‘New’ button to create a new put away list document.

Now as we previously did, select the receipt document which was created before and click the green icon to import the items in that receipt document. Then click the save button. Next step is to open the mobile app for Lead Warehouse. Login using username and password.

Here you can see that the put away window is already selected when you first open the app. Next you have to select the location of the warehouse. Then select the correct warehouse in that location and enter the document number of the put away list created before this.

Then you have to scan the item in that put away list or enter the code of that item. Then the item will get selected. Next you have to scan or enter the bin number of the bin in which the first scanned item is going to be put in. Then enter the quantity of the item being put into that bin and click the Put button.

Sometimes the selected item may have to be put into two different bins, in that case select the first bin and enter the quantity being put into that bin and click the put button to store that quantity in that bin. Then select the item again by scanning the item and select the second bin and enter the quantity of the item being put into that bin.

If there are multiple items in a put away list. You have to scan and enter the bin and quantities of each item in the put away list one by one by following the same steps.

Picking List

The next thing that comes in warehouse transactions would be to create a picking list document for the sales that happens in the company. The items in a sale document can be entered into a picking list to be picked and delivered to the customer.

Select the transaction type as picking list and click the new button to create a new picking list document.

Then click the Prepare picking list button.

Here you will be able to select the transaction type from which you want to create a picking list for. For creating a picking list from sales, select the transaction type as Sales in the top left corner of the window. Select the date or period from which you want to select the Sales documents from. The current date will come by default and all the sales entries of the day till then will appear in the list below it. You can either select all of the Sales documents or select a particular Sales document against which the picking list should be created. Tick the S Column to select the documents or remove the tick mark to remove the selection. After selecting the sales transaction click the Collect Pickup Items button.

Then all the items from the selected transactions will be shown in the Pickup Items List along with their quantities from the selected transactions. Then click Export Pickup Items to Picking List Button and all these items will be imported to the new Picking List Document. There you can remove or change the quantities of the selected items as needed and save the picking list document. Then approve the document when verified.

Now open the Lead Warehouse app.

Select the location and warehouse. Enter the document number of the picking list. Then scan the item code or you can type the code. Then scan or enter the bin number and enter the quantity of the item being put into the bin and click the pick button. Repeat this for all items in the picking list. And if the same item is being picked from two different bins first enter the quantity of the item being picked from the first bin, then select the item again and select the second bin and enter the quantity being picked from the second bin and click the pick button.

Warehouse Transfer Outwards

This warehouse transfer outwards document is used to transfer the stock from one warehouse to another warehouse that’s in the same location.

First select the destination warehouse by clicking the drop down arrow. Then select the items and their quantities and click the Save button. Click the Approve button if all the details of that document is correct.

***Note this document is used between the many warehouses that are under the same location and not between warehouses that are in different locations.

For warehouses that are in different locations, first you have to do a normal stock transfer using Inventory outward and using the stock transfer feature to import the items in the inventory inward document of another location. This is to be done in the inventory outward and inventory inward document that is not in the Warehouse transactions but the normal inventory inward and outward documents. Then after that’s done you can go to warehouse transactions and use the receipt document to import the items from the normal inventory inward document by selecting inventory inward as the transaction type in the new Warehouse Receipt Document and importing the items from the correct inward document.***

Warehouse Transfer Inwards

After doing the inventory outwards from the first location. Select the warehouse transfers inwards document and select the destination warehouse in the top left corner and open a new Warehouse Transfer Inwards document. There you can select the source warehouse, select the first warehouse from which you did the Transfer outwards document from. Then select the transfer outwards document by clicking the magnifying glass icon and selecting the correct outwards document. Then click the green icon to import the items into the transfer inwards document. Verify the quantities and click save. This step can be done by the destination warehouse staff.

Then once the inwards document has been saved you can create a put away list based on the transfer inwards document to store the received stock into the bins in that warehouse.

Create a new put away list document. Then select the transaction type as Warehouse Transfer Inwards and select the correct Transfer Inwards document and import the items into the Put Away List document and click the Save button. Then Approve the document by clicking the Approve button.

Then the staff can put the stock into the respective bins by using the Lead Warehouse App.

***Note this document is used between the many warehouses that are under the same location and not between warehouses that are in different locations.
